Job Purpose

The role will be based in the Administration offices of the Mayflower Terminal. You will be providing general administrative services, to include but not limited to, accurate stock reporting, data analysis and customer liaison. Coordinate meeting rooms, minute taking, procurement, document control, with use of Microsoft Office and bespoke databases. Mentoring of apprentices with regards to administration tasks.

Principal Accountabilities

Management of terminal stock accounting and HMRC reports

Administration of documents and records within the terminal SharePoint database

Shipping management activities, systems, policies and procedures to all site personnel, clients

And customers ensuring compliance with statutory, contractual, quality, legal and SHEQ standards

Auditing of offices

Administration of the Plymouth info mailbox

Procurement coordination

Data analysis

Support for external audits

Liaison for external stakeholders, customers and visitors Office and logistical administration

Meeting room coordination

Minute taking

Mentor for administration apprentice

Liaison for apprentice providers

Qualifications and Experience Required

 At least one year’s office administration responsibilities

 Microsoft Office packages (Excel, Word, PowerPoint, SharePoint)

 Good understanding of spreadsheets

 Data retrieval, analysis and producing reports

Good verbal and written communication skills
